My Role as a UX/UI Designer in Creating Online Application Processes for IHK Digital Services

In my recent project with the IHK Digital, I played a central role as a UX/UI designer in designing and implementing online application processes for various digital services. This project was characterized by the challenge of creating user-friendly and efficient solutions while adhering to strict requirements for data protection and accessibility. In the following, I would like to elaborate on my responsibilities and the value I was able to bring to the project.

1. User-Centered Design

As a UX/UI designer, the end user is always at the forefront of my work. Therefore, the design process began with an in-depth analysis of the target groups that would utilize the IHK’s digital services. The users of these application processes range from young entrepreneurs to seasoned business owners, so I had to create a clear, intuitive, and easily understandable interface that is accessible to all user groups.

In this regard, it was crucial to enable users to have a smooth and stress-free application process. By employing methods such as customer journeys, I could understand the needs, expectations, and potential challenges of the users, which I then incorporated into the design. The designs were developed iteratively and validated through prototypes to ensure that the user experience was optimally designed.

2. Consideration of Data Protection Requirements

A central aspect of the project was the strict adherence to data protection regulations. The online application processes involve sensitive data such as personal information, making it imperative to design data collection and processing in a transparent and secure manner.

As a UX/UI designer, my role was to visually and functionally integrate data protection requirements into the design. This meant that users needed to be clearly informed at all times about the purpose of data collection, the use of their data, and their rights (e.g., the right to deletion and access to their data). Additionally, I ensured that all interactions requiring the input of personal information were as minimal and secure as possible.

Another important element was the design of opt-in mechanisms for consent to data processing. I had to ensure that these elements not only met legal requirements but were also understandable and easily accessible, in order to build users’ trust in the platform.

3. Understanding Internal Processes and Security Requirements

A crucial aspect of my role was understanding the internal processes of the IHK and collaborating with various teams to gather the necessary information. It was vital to work closely with stakeholders from different departments to identify the specific scenarios and user groups that would access the application processes.

This involved determining which users would require which types of log-ins and what security requirements would be needed for the different application processes. The internal security standards and the Online Access Act (OZG) set the framework for these requirements.

The OZG is a German law aimed at making administrative services more accessible online. It mandates that all public authorities provide their services digitally, ensuring that citizens can complete their administrative tasks conveniently through online platforms. By adhering to the principles outlined in the OZG, we were able to ensure that our designs met the necessary security and accessibility standards while providing a seamless user experience.

Conclusion

My role as a UX/UI designer in creating the online application processes for the IHK Digital Services was characterized by the challenge of combining complex requirements regarding data protection and accessibility with an excellent user experience. Through a user-centered design process and a thorough understanding of internal procedures and security standards, I was able to contribute to creating a digital solution that is both secure and user-friendly.

This project demonstrated to me the importance of making design decisions early that provide users with trust and orientation while also considering legal frameworks. In doing so, I was able to make a significant contribution to the successful implementation of this project and sustainably improve the user experience.
